Workday Grants Product Manager

Overview
A leading healthcare organization is hiring a Workday Grants Product Manager to own the Grants domain in a large, enterprise Workday environment. Workday is live after a recent big-bang implementation, and this role is central to stabilising Grants operations, closing post go-live gaps, and evolving the Grants product to support long-term research and funding needs.
This is a hands-on product ownership role where you will partner with Research Administration, Finance, Compliance, and technical teams to improve end-to-end grants lifecycle processes and ensure the platform supports accurate reporting, audit readiness, and user adoption.
What you will do

Grants product ownership

• Be the primary product owner for Workday Grants, representing Research Administration, Finance, and Compliance needs
• Own the product roadmap, backlog, and prioritisation aligned to research and funding objectives
• Translate business requirements into clear functional designs and Workday configurations
• Partner with technical teams to ensure solutions align with platform standards and downstream reporting needs

Post go-live stabilisation and optimisation

• Lead stabilisation efforts for Grants, addressing functional gaps, process inefficiencies, and adoption challenges
• Improve end-to-end grants lifecycle processes including proposal setup, award management, billing, cost sharing, and closeout
• Support data validation, reconciliation, and audit readiness for grants and sponsored research

Cross functional collaboration

• Partner with Finance, Research Administration, Payroll, Supply Chain, and HR to ensure integrated Grants processes
• Work with reporting and analytics teams to define grants reporting requirements and data consumption needs
• Act as the bridge between business stakeholders and Workday technical teams

Governance and change management

• Establish functional governance for Grants including intake, prioritisation, testing, and release coordination
• Support change management, training, and documentation for grants users and administrators
• Ensure compliance with sponsor, regulatory, and institutional requirements

Vendor and partner management

• Collaborate with system integrators and external partners during post implementation transition and optimisation
• Support evaluation of managed services or supplemental support models for the Grants function

What they are looking for (must have)

• 7+ years supporting grants management, sponsored research, or research finance systems
• Hands-on Workday Grants experience in a functional role or product ownership capacity
• Strong understanding of the full grants lifecycle in a research, academic, or regulated environment
• Experience in a post implementation ERP environment, including stabilisation and optimisation
• Ability to lead cross functional discussions and influence without direct authority
• Strong communication skills with both technical and non technical stakeholders

Nice to have

• Experience in complex research organisations, academic medical centres, or higher education environments
• Knowledge of Workday Financial Management, Payroll, and reporting
• Experience migrating from legacy ERP or grants systems into Workday
• Experience partnering with system integrators during and after implementation
